We collect information you provide through our website contact form, consultations, booking and consent forms, and communications by telephone, email, text, WhatsApp, Instagram or Facebook.
This may include:
Your name, date of birth and contact details.
Enquiries, appointments, purchases and payment records.
Medical history, medication, allergies and information relevant to treatment suitability.
Consultation notes, prescriptions, consent forms, clinical photographs and aftercare records.
Complaints, feedback and communication preferences.
We use this information to respond to enquiries, arrange appointments, assess suitability, provide treatment and aftercare, maintain clinical records, process payments and manage complaints or legal matters.
Our website contact form is for enquiries. Please avoid including sensitive medical information in it. We use Aesthetic Nurse Software (ANS) for bookings and electronic clinical records.
We may receive relevant information from healthcare professionals or someone authorised to act for you where necessary and lawful.
-
Depending on the purpose, we use information to fulfil a contract with you, comply with legal obligations, or pursue legitimate interests such as administering our services, maintaining appropriate records and handling complaints or claims.
We rely on consent for optional marketing and promotional photography.
Health information receives additional protection. Where applicable, we process it for healthcare assessment and treatment under the responsibility of professionals subject to confidentiality obligations, or where necessary for legal claims. We obtain explicit consent for optional promotional uses that reveal health information.
If you do not provide information necessary for a safe assessment, we may be unable to offer treatment.
-
We store clinical records electronically using ANS and do not routinely keep paper clinical records. Relevant communications may also be held in our email and messaging systems.
We share information only where necessary and lawful, including with:
Providers supporting our records, website, communications and payments.
Healthcare professionals or pharmacies involved in your care.
Our insurers or broker, including Cosmetic Insure, and professional advisers.
Regulators or authorities where disclosure is required or otherwise justified.
Our website is hosted by Squarespace, which states that information may be processed in the United States and describes safeguards including the UK Extension to the EU–US Data Privacy Framework. Its arrangements are explained at https://www.squarespace.com/privacy.
Other communications providers, including Google and Meta, may also process information internationally. Applicable transfer arrangements depend on the service used. Contact us for information about providers handling your data and relevant safeguards.
We do not sell your personal information.
-
Clinical records, consent forms and clinical photographs are retained for 10 years following your last treatment. Where a clinical consultation does not lead to treatment, we retain its clinical record for 10 years following that consultation.
Records may be retained longer where justified by legal or insurance requirements, an ongoing complaint or a legal claim. Different arrangements may apply to children’s records.
We retain other enquiries while responding and managing necessary follow-up, reviewing the need to keep them once closed. Financial records are retained for applicable accounting and tax requirements.
Marketing details are retained while you remain subscribed, subject to review. If you unsubscribe, we may keep a minimal record to respect your preference.
Information no longer required is securely deleted or anonymised, taking account of provider backup arrangements.
-
Clinical photographs may be used for assessment, treatment planning and clinical records. We explain their purpose before taking them.
Separate, optional consent is requested before identifiable photographs are used on our website, social media or promotional materials. Refusing this consent will not affect your care.
You can withdraw promotional consent at any time. We will stop future use and remove material from channels we control where reasonably possible. We cannot necessarily retrieve printed materials already distributed or copies shared independently by others. Clinical copies may still be retained where lawfully required.
We send occasional promotional messages only where you have opted in. You can unsubscribe or contact us to stop them at any time. Necessary appointment and care messages are separate from marketing.
-
Our Squarespace website may use cookies and similar technologies for site functions and, depending on the settings enabled, analytics or other features.
-
We use appropriate technical and organisational measures to protect information and restrict access to those who need it for their role.
Depending on the circumstances, you may ask to access, correct, delete, restrict or transfer your information, or object to certain uses. You may withdraw consent where we rely on it.
Some rights have exceptions. For example, a justified need to retain clinical records may prevent immediate deletion. You can always object to direct marketing.
Contact us to exercise your rights. We may need to verify your identity and will respond within the applicable legal timescale.
